Personal Information

Personal information covers all information that may be used to identify a person, including but not limited to their first and last name, age, gender, home address or other physical address, email address, or other information, whether or not it relates to their private residence or workplace.

When we process your information, we always comply with applicable privacy law. In some cases, UK and EU law permits us to process your personal information. For example, we may need to save the address and name you have provided.

What Personal Information Do We Collect and Process?

You can access www.scandiflames.com without telling us who you are or otherwise providing personal information about yourself. We therefore do not register any personal information unless you have expressly agreed to it.

However, we do need certain personal information in order to sell and deliver goods to you.

We collect and process information about you when you:

• Provide your company name and VAT number
• Provide your phone number
• Provide your email address
• Provide account information when settling an outstanding balance
• Create a user account with us (business customers) in order to trade with us
• Make purchases through our webshop, by phone, or via mail contact with our sales department
• Send an inquiry, complaint, or feedback, or otherwise provide personal information to us through the website or other channels

We do not collect personally identifiable information about customers from third parties.

ScandiFlames uses various payment methods to handle online purchases, and we do not store any payment information such as credit card numbers, bank account numbers, or similar details.

What We Use Your Personal Information For

ScandiFlames processes your personal information to fulfil a contract to which you are a party, or to take steps at your request prior to entering into such a contract.

In practice, this means we process your personal information because you have contacted us to do business with us. We also process your personal information to fulfil our obligations once we have traded with each other.

For example, we use your name, phone number, and address to deliver goods you have ordered.

We also process your data where ScandiFlames has a legal obligation to do so, or where you have given your consent to the processing.

Who Do We Disclose Personal Information To?

Personal information provided on scandiflames.com is only disclosed to:

• Selected and trusted third parties who use your personal data to deliver goods you have ordered — for example, an external carrier.
• Other recipients, where we are legally required to disclose personal information.
• Registries or public authorities, for the purpose of investigating abuse or fraud against ScandiFlames.

To further develop and improve our website, we keep statistics on how users interact with our pages. These statistics are used only in summarised form, for example, to identify which pages our customers use most.

We use Google Analytics to collect visitor statistics and share IP addresses with Google Analytics. This transmission is encrypted.

Except in the cases described above, ScandiFlames does not disclose data about individual customers' use of scandiflames.com to third parties.

We only use data processors within the EU, or in countries that can provide an adequate level of data protection. These processors handle information solely on our behalf and may not use it for their own purposes. Their obligations are secured through a data processing agreement.

Where Is Your Personal Data Stored?

Your personal data is stored on servers in Denmark. Not all customer information is stored in encrypted form; however, data cannot be accessed without an encrypted connection. Customer information is encrypted where required by applicable law. We only retain personal data for as long as necessary for the purposes stated above.

When Is Your Information Deleted?

We record personal information and retain it for the period permitted by law. We delete it once it is no longer needed. The retention period depends on the nature of the information and the reason for storing it, so it is not possible to specify a general timeframe for deletion. For statutory reasons, we retain some information for 5 years.

Access to Information

You have the right to be informed of what personal information we hold about you. You may also object to the disclosure of your information at any time, and you may revoke your consent to its processing. If the information we hold about you is incorrect, you have the right to request that it be corrected or deleted.
